Handoffs, procedures, and the step to lead

The people who move up in a warehouse explain things clearly: a good shift handoff, a new hire trained right, an idea a supervisor can say yes to. AI helps with the explaining. You bring what happened on the floor.
You leave with
A handoff format, a way to study your site's own procedures, and practice training a new hire.
Before you start: never put these into an AI tool
- Customer or shipment details your company keeps private.
- Passwords, account numbers, or anything that unlocks something.
- Anything your employer says stays inside the company.
Safety: If something is unsafe, report it right away through your site's safety process. Do not stop to write it up with AI first. Equipment certification, like forklifts, comes from your employer's training and evaluation.
How to use the prompts
- Fill in the blanks under a prompt, then tap Copy prompt.
- Open Claude (opens in a new tab), or the AI tool your employer approves, and paste it into the message box.
- Send it, read the answer, and check it before you use it. Then come back here for the next step.
Words in this lesson
- Handoff:
- a note for the next shift about what they need to know.
- Lead:
- a worker who runs a team on a shift.
Step 1 of 4Quick win
A shift handoff nobody has to ask about
Jot what the next shift needs to know. AI turns it into a short, ordered note.
Prompt to copy
Turn my notes into a shift handoff for the next lead. Sections: safety first, then what is unfinished, then anything broken or low, then anything to watch. Short bullets. Use only what I give you. If something is missing, tell me what it is instead of guessing. Notes: [your notes]
Fill in the blanks above, or replace each [bracket] yourself after pasting.
Worked example: spot the problem
Everything here is made up, for practice.
Their notes
Dock 3 door sticks, told maintenance at 2pm. 14 pallets left on the Reyes order. Scanner 6 battery bad.
What the AI wrote
Safety: Dock 3 door sticks; maintenance will fix it tonight. Unfinished: 14 pallets left on the Reyes order, due at 6am. Broken: Scanner 6 battery.
What did the AI add? Show the answerHide the answer
The problem: "Will fix it tonight" and "due at 6am" are not in the notes. The next shift could plan around facts that do not exist.
Fixed, using only the notes
Safety: Dock 3 door sticks. Maintenance was told at 2pm. Unfinished: 14 pallets left on the Reyes order. Broken: Scanner 6 battery is bad.
Step 2 of 4
Study a procedure from your site's own document
Use your site's written procedure, if you are allowed to share it with an AI tool. If you are not, ask your trainer for a copy to study instead. The written procedure and your trainer always win.
Prompt to copy
Below is a procedure from my workplace. Explain it in plain words for someone in their first week. Keep every safety warning, every step in the same order, and every limit. Do not add steps. Then quiz me with five questions, one at a time, and quote the line that answers each. If something in the text is unclear, tell me to ask my trainer. [the procedure]
Fill in the blanks above, or replace each [bracket] yourself after pasting.
Step 3 of 4
Practice training someone
Leads train people. Practice before you are asked. This is a made-up role-play, so it is practice, not experience.
Prompt to copy
Act as a new hire on their first day. I am training you on [task]. Ask me the questions a nervous new person would ask, one at a time. At the end, tell me which of my answers were unclear.
Fill in the blanks above, or replace each [bracket] yourself after pasting.
Step 4 of 4
Put an idea in front of your supervisor
For ideas that save time or effort. A short, clear note is easier to say yes to.
Prompt to copy
Help me write a short note to my supervisor about an improvement. The problem: [what you see]. My idea: [your idea]. What it would take: [time, people, cost if you know it]. Under 120 words and respectful. Do not invent numbers or results.
Fill in the blanks above, or replace each [bracket] yourself after pasting.
Check before you use it
- Safety items are first and correct.
- Nothing in the explanation contradicts your site's written procedure.
- No numbers in your note that you did not measure.
On your resume, only if you actually did this at work
Trained [number] new associates on [task] / Proposed [change] that [result you saw].
Use only numbers you actually know.
