Clear messages, clean reports, and your next license

Your map app plans the route. AI helps with everything around the drive: the delay message you send once you are safely parked, the incident report you dread, and the test you are studying for. It does not know your stops or your company's rules, so you bring the facts.

You leave with

A delay message you can send in seconds, an incident report format, and a study partner that sticks to the official manual.

Before you start: never put these into an AI tool

  • Customer names, addresses or phone numbers.
  • Typing, reading or using your phone while the vehicle is moving, including at red lights and in traffic.
  • Passwords, account numbers, or anything that unlocks something.
  • Anything your employer says stays inside the company.

Safety: Only use your phone when you are parked. Not at red lights, not in traffic.

How to use the prompts

  1. Fill in the blanks under a prompt, then tap Copy prompt.
  2. Open Claude (opens in a new tab), or the AI tool your employer approves, and paste it into the message box.
  3. Send it, read the answer, and check it before you use it. Then come back here for the next step.

Words in this lesson

Dispatcher:
the person who assigns routes and tracks drivers.
Endorsement:
an add-on to a license for a certain kind of driving, like tankers or hazardous materials.
  1. Step 1 of 3Quick win

A delay message that keeps everyone calm

Write it once while parked, save it in your phone notes, and reuse it.

    Prompt to copy

I am a delivery driver. I am running about [how late] late because [reason]. Write a short, polite text to [my dispatcher / the customer] with my new time of [time]. Under 40 words. No excuses, and no promises I did not make.

    Fill in the blanks

Fill in the blanks above, or replace each [bracket] yourself after pasting.

    Worked example: spot the problem

Everything here is made up, for practice.

    Their notes

Running late. Traffic on I-25. New arrival about 3:40. Text to the customer.

    What the AI wrote

Hi, this is your driver. Traffic on I-25 has me behind. I'll be there around 3:15, and your order is safe and refrigerated.

What did the AI add? Show the answer

The problem: The time is wrong (3:15 instead of 3:40), and nothing in the notes said the order was refrigerated.

    Fixed, using only the notes

Hi, this is your driver. Traffic on I-25 has me running behind. I expect to arrive around 3:40. Sorry for the wait.

  2. Step 2 of 3

Turn rough notes into a clean incident report

After damage, a near miss or a refused delivery, write down what happened in any order once you are parked. AI puts it in order. Using only your notes matters here: a report with an invented detail can hurt you.

    Prompt to copy

Here are my notes about something that happened on my route. Turn them into a clear report with these parts: date and time, location, what happened in order, what I did, who I told. Use only what is in my notes and do not add details. At the end, list anything a supervisor would ask that my notes do not answer. Notes: [your notes]

  3. Step 3 of 3

Study for your next license, from the official manual

Skip this step if you do not need a commercial license. If you do, copy a short section from your state's current official CDL manual and quiz yourself on that text only. The manual is the source, not the AI.

    Prompt to copy

Below is a section from my state's official CDL manual ([state], section [number]). Quiz me only on this text, one question at a time. After each answer, quote the sentence from the text that shows the right answer. If the text does not answer something, say so instead of guessing. [the manual section]

Check before you use it

  • Times, addresses and names in every message are right.
  • The report says nothing you did not see or do.
  • Every quiz answer is quoted from your manual.

On your resume, only if you actually did this at work

Wrote [incident reports / customer updates] using AI tools, [what improved, for example fewer follow-up questions from dispatch].

Use only the result you actually saw.
